Movement one

Build the shoot day.

On iPhone, iPad, and Mac, local drafting and branded PDF export work offline without an account or subscription. Build the people, times, locations, and document on the device. Browser drafting uses a signed-in account and stores the sheet online when you save.

The finished call sheet on a phone: production title, shoot date, general crew call and estimated wrap, the location with parking instructions, special instructions, the morning, midday and evening weather, key contacts with call, text and email actions, and the run of day from crew call to estimated wrap. — The document that comes out the other end.

Start the day

One call sheet per shoot day. Native local drafts and browser drafts have different storage and account requirements.

Unlimited local drafts: In the iPhone, iPad, and Mac apps, create and edit local call sheets offline without an account.
Production title and shoot date: Name the production and set the shoot date; Sun Path also needs the primary production address and its resolved time zone.
General crew call, lunch, and estimated wrap: The shape of the day, set once and used by every relative call time below it.
Copy a call sheet to the next day: Next Day copies a CallSheet onto tomorrow's date and advances the day number. The crew, the schedule, the files and the Sun Path come with it.
A worked example on first launch: A complete sample sheet, labeled Example until you save over it or delete it, so the first screen is not empty.

First-run hints that leave: One dismissible hint on the library and one on a call sheet, each shown once. Nothing blocks the app, and Settings can bring the welcome screen back.

Cast, crew, and key contacts

Native apps search Apple Contacts on the device after permission and retain the people you select. In the browser, enter people manually or paste spreadsheet text.

Apple Contacts, person by person: CallSheet's searchable picker reads Contacts on this device after permission; only selected people are copied, with Apple's single-contact picker available when access is denied.
A whole Apple Contacts list at once: Bring in a list you already keep, like Camera Dept, in one step instead of tapping through it.
vCard and CSV import: Read a .vcf or .csv exported from Google Contacts, Outlook, Numbers, Excel, or Sheets. Save spreadsheets as CSV first.
Column confirmation for CSV: CallSheet guesses which column is which and shows a sample value next to every guess. Correct any of them before continuing.
A review step before anything saves: See how many people are new, who merges into someone already in your directory, and who the file repeated.
Merging that only fills blanks: A merge never overwrites something you typed by hand. It fills the fields that were empty.
Set a department, position, or list in one pass: Apply the same department, position, or list to everyone in the import instead of editing each person.
Manual entry: Add people who are not in Contacts, with the same fields as everyone else. Declining Contacts access does not block the app.
Cast, crew, and key contacts as separate groups: Three groups on the sheet and in the PDF, each with its own call logic.
Department, position, email, and phone: Enough identity to address the person correctly on the document and to reach them from it.

BoundaryCallSheet never uploads your address book. File import reads only the file you pick and needs no Contacts permission at all.

The Crew Directory

The people you work with more than once, kept on the device and reusable on the next job.

A Crew tab that works with no account and no network: The directory is on device. It does not sign in, sync, or wait for a connection.
Built from work you already did: People used on local call sheets are backfilled into the directory automatically, without creating duplicates.
Go-To, Past Crew, All Crew, and your own lists: Mark the people you call first, and group the rest however the work is actually organized.
Search that covers the whole record: Name, email, phone, market, department, position, list, private note, or a production they worked on.
Past use and most recent production: How many of your call sheets a person has been on, and which one was last, derived from local history.
Multiple roles per person: One person can carry several department and position pairs, because they do on a real crew.
Private directory notes: Notes for you. They never appear on a call sheet, in a PDF, or in anything a recipient sees.
Multi-select onto a call sheet: Add several people at once, with conservative duplicate prevention.
Historical sheets that stay historical: A call sheet snapshots the person when they are added. Editing or deleting a directory entry later never rewrites a sheet you already sent.
Export as vCard or CSV: The list you build here is yours. Take it out at any time.

BoundaryThe directory itself stays on the native device. People you add to a call sheet become sheet snapshots and upload when you publish that sheet. You can also export the directory as a file.

Call times

Most of a call sheet's real work is one person's call being different from everyone else's.

General call: The unit's call, and the default every other kind of call is measured against.
A fixed personal call: An exact time for one person, independent of the general call.
A department-relative call: Set a person relative to their department, so moving the department moves them.
A person-relative call: Set a person relative to another person, so the chain holds when the anchor changes.
Text calls: On Call and Will Call, written as O/C and W/C, for the people whose time is genuinely not a time yet.
Shift the entire production day at once: Move supported time fields, including general call, meals, schedule items, personal calls, and estimated wrap; times written inside free-text notes are not rewritten.
A personal call that does not hide the general call: The preview and the recipient page show both, because a person needs to know their time and the unit's.

Run of day, locations, and moves

The schedule, the addresses, and the ways the unit gets between them.

A timed run of day: Schedule items with real times, which is also what the Sun Path reads to build the day's solar sequence.
Reordering that matches how you think: Drag items into place, move one up or down, sort the whole list by time, or resequence the times themselves.
Primary location and parking: Where the unit is and where it leaves the vehicles, as separate facts.
Structured additional locations and company moves: A move is a scheduled event with its own address, not a note in the margin.
Address completion from Apple Maps: Start typing an address and finish it from Apple's own suggestions, so the address on the sheet resolves.
Vehicles and transportation: What is carrying the unit and the gear, recorded on the document everyone receives.
Meals and catering: Lunch time, second meal, and the catering detail that decides whether the day runs.
Equipment notes: Department specific gear notes attached to the day rather than to a text thread.
Advance schedule: What is coming on the next shoot days, so crew can plan past tomorrow.
Production notes and special instructions: The paragraph every call sheet needs and no template ever has the right field for.

Safety, weather, and the day's facts

The part of the document nobody reads until the moment they need it.

Hospital lookup: The native app searches Apple Maps around the primary location and fills available name, address, phone, and distance; browser lookup requires phone entry, and producers must confirm suitability.
Emergency contacts and emergency information: Named people and the instructions that go with them, in the document rather than in someone's phone.
The shoot day forecast: Native apps look up weather for the primary location and shoot date when a provider has a forecast; browser weather fields are entered manually.
Tap to map, call, and text: From the preview, open the address in Maps or reach a person directly, without retyping anything.

BoundaryWeather lookup needs a connection and depends on provider coverage and forecast dates. Hospital results do not verify emergency-room staffing or rank by driving time.

Sun Path

A location scout answers where the sun might be. The run of day has to answer where it will be at each timed setup.

True-north bearing and elevation: The sun's direction and height for the production location, the shoot date, and the selected time.
Satellite imagery in the native app: The path sits over the real location, so the direction means something against the buildings you can see.
Jump through the day you already built: Move between crew call, first shot, company moves, meals, and estimated wrap at the primary production location; a timed move does not calculate the sun at a separate address.
Sunrise, solar noon, and sunset: The times and the directions, not only the times.
An interactive Sun Path in the crew link: Recipients get a north-up Sun Path they can move through in the browser, on the same private page as the call sheet.

BoundarySun Path uses true north at the primary production address and shoot date. It does not predict shade from buildings, trees, terrain, or windows. On iPhone and iPad, Sun in Camera draws the same path over the live camera view.

Site Map

Draw the gate, parking, or route in the native iPhone, iPad, or Mac app. The browser can show or attach a map image but cannot edit these marks.

Drawn on the production location: Satellite imagery of the address already on the call sheet, so the marks sit on real ground instead of on a sketch.
Arrow, line, box, and text: Point at the gate, run the route in, ring the staging area, and name it in words crew read at a glance.
Car and truck marks: Crew parking and truck parking are different questions on the day, so they get different marks rather than two identical dots.
Four colors picked for aerial photography: Gold, white, red, and cyan. A free color picker is how a dark green arrow ends up drawn across a dark green lawn.
Marks anchored to the ground: Every mark holds its coordinate through pan and zoom, so the drawing means the same thing at any scale you read it at.
Printed on the call sheet: The finished map prints on the sheet itself, in its own section after Sun Path, so it reaches the crew link and the PDF without anyone opening a file.

The PDF and production files

Production still needs a file that can be printed, saved, and handed to someone outside the workflow.

A phone-readable preview: Read the finished call sheet on the device before anyone else sees it.
A print-ready PDF: Preview and export the complete call sheet, with or without ever sending it. The free export carries a small Made with CallSheet line.
Production, client, and agency logos: Add JPEG or PNG logos in the native or browser editor; they appear in the fixed document layout on free and Pro sheets.
The current PDF hosted with the link: Every recipient's private page carries the PDF for the revision they are looking at.
Attached production files: Include up to 20 PDF, JPEG, or PNG attachments, including logos and Site Map, within 4 MB (4,000,000 bytes) combined; each file has the same 4,000,000-byte ceiling.
Attachments that carry forward: Files stay attached across revisions, so republishing does not mean attaching them all again.
Auto-Save published PDFs: Choose a folder in native Settings to save each published PDF with its date and revision; installed, signed-in file providers can supply the folder.

BoundaryFree PDF export carries a Made with CallSheet footer; Pro removes it. Published PDF Auto-Save is a folder workflow, not automatic backup of unsent drafts or a direct cloud-drive integration.

Movement two

Send it, and know who has it.

Sending is what CallSheet Pro unlocks. Each recipient gets a private link of their own, the current PDF travels with it, and the response you get back is an explicit confirmation rather than a read receipt.

The Send and Track screen on a phone: a signed in cloud account, sync and publish actions, a recipient summary reading three sent, two viewed and one confirmed, and a list of two people who need attention, one sent and one viewed, with actions beside each to open their link, resend it, or revoke it. — Six real states, and an action next to every person.

Recipients and private links

One link per person, addressed to that person, with no account for them to make.

A private link for anyone with an email or a phone number: Recipient specific and secure. Crew and cast do not install anything and do not sign in.
Phone-only recipients: Someone with a number and no email still gets a private link; native apps prepare Messages, while browser producers copy the link and send it themselves.
Review before publishing: Review recipients, message, PDF, and files before Publish; native drafts upload at that action, while browser Save has already stored the sheet online.
Your subject, your reply address, your message: Set a custom subject line, a reply-to address, and a producer note that goes out with the link.
Link-only email, Messages, and sharing: Call-sheet emails contain a private link, with the PDF and files on the recipient page; native Messages and share actions prepare links for you to send yourself.
Selected people become sheet snapshots: The people included on the sheet are stored with native Publish or browser Save; changing a separate native directory profile does not rewrite that sheet.
Expiry and revocation: Links expire after 90 days, and you can revoke access before then when it should end.
Up to 100 recipients in one send: The unit and its cast, in a single publish, with individual and bulk resend after it.
Initial publish and update are labeled differently: Recipients are told which one they are receiving, stamped with the send time in the shoot's time zone.

Delivery and confirmation

An open is not a response. Confirmation records the answer submitted for the issued revision; it does not verify who opened the link or what they understood.

Delivered, viewed, confirmed, declined, bounced, and failed: Six real states, so a bounce reads as a bounce instead of as silence.
Confirmation bound to a revision: A confirmation records the response and revision submitted through that recipient link, rather than treating every later edit as confirmed.
Stale confirmations are rejected: When a relevant change lands after someone confirmed, their acknowledgement stops counting as current.
Unaffected people keep their status: An unrelated change to somebody else does not quietly invalidate a confirmation you already have.
Individual and bulk resend: Chase one person, or everyone still outstanding, without rebuilding the send.
Revision numbers stay on your side: The counter tracks every save, so quoting it would publish how many times the sheet was reworked. Crew see update state and a send time instead.

What crew and cast actually see

A private web page, opened in the browser already on their phone.

No app, no account, no download: The link opens and the call sheet is there. Nothing to install, nothing to register.
What changed for you: On an update, the exact change affecting that person, in plain language, at the top of their page.
Their call next to the general call: Personal call, general call, lunch, and estimated wrap, together, so neither can be mistaken for the other.
Location and address: Where to go, openable in their own maps app.
The current PDF and attached files: The document and the production files for the revision they are looking at.
An interactive Sun Path: The same solar plan the producer built, north-up and movable through the run of day.
Confirm or decline: Two explicit actions, bound to the revision on screen, returned to the producer's delivery board.

BoundaryA private link is a capability link. Treat it as confidential, and do not forward it. A PDF downloaded from the page is a snapshot from that moment.

Movement three

Keep it current without a full crew alarm.

Review who a late change affects, choose who receives the update, and keep unaffected confirmations current.

The publish review for revision three on a phone. One recipient is selected and marked affected by this draft because their call moved from 6:15 AM to 6:45 AM. Two people whose information did not change are left unselected: one whose confirmation is current, and one already sent the current revision. — One person's call moved, so one person is selected.

Change-aware revisions

CallSheet works out who is affected. You decide who is sent to.

The next revision compared with the current one: CallSheet diffs the two and works out what actually moved.
Shared and personal changes told apart: A new location affects everyone. One person's call affects one person. The two are handled differently.
Affected recipients preselected: The send review opens with the affected people already ticked, and you can add or remove anyone before publishing.
A plain language summary of what changed: The same summary appears in your review, in the email, in the Messages copy, and on the recipient's page.
Nothing sends by itself: CallSheet identifies and preselects. The producer reviews and presses Publish. There is no automatic send.
No silent overwrite: If the sheet moved on another device while you were editing, you get a conflict to resolve rather than a lost change.
Compare two external call sheet PDFs: In a native app, compare two selectable-text PDFs locally and review suggested changes and roster matches; scans are unsupported, with a 25 MiB and 100-page limit per PDF.

The browser app and shared call sheets

Use a signed-in browser library at the desk, with clear limits when continuing a sheet created in a native app.

Sign in on the web: Start with the iPhone, iPad, or Mac app, then sign in to the browser with the same Apple account; existing email accounts can also sign in.
Browser call-sheet editor: Create and save people, times, locations, notes, logos, and files online, export web-created branded PDFs for free, and send with Pro; native Contacts, libraries, map drawing, and weather refresh differ.
Share a call sheet with another producer: The owner of a browser-created sheet can invite an Editor to edit or a Viewer to read; neither role sends, and invitations expire after seven days.
See who else is in it: A line appears when a collaborator is editing the same call sheet right now. It is a warning rather than a lock.
One subscription covers both: The browser app runs on the same account and the same CallSheet Pro subscription. There is nothing extra to buy for it.

BoundaryNative drafts do not automatically appear in the browser. Publish first. A native-created PDF must be updated in the native app; duplicate its sheet in the browser if you need a version the browser can render and send. Browser access itself is free; Pro covers clean PDFs and distribution on the same account.

Movement four

Wrap the job, and send the invoice details.

Wrap Sheet

The closing email uses the call sheet and saved invoicing details, then goes to the recipients you select.

One closing email at wrap: It carries your thank-you, the job code labeled for the invoice subject line, and how to invoice: legal entity, remit-to, payment methods, terms, and file naming.
Invoicing details entered once: Save your invoice profile in native Settings or the browser Account page and reuse it on Wrap Sheets; fields left blank stay out of the email.
You pick the days and the people: In the native app, select the shoot days to thank together and then the recipients; the browser uses the current sheet and lets you select its email recipients.
No app and no account for crew: It is plain email, sent with your reply-to address, so crew answer you directly.

BoundaryWrap Sheet sends invoicing instructions, not invoices, payments, or a wrap PDF. It is separate from the Ready to Wrap coverage-decision workflow, which has no public native entry.

Movement five

Your account, your data, and who can read it.

CallSheet is a standalone product. It has no company login behind it, no CRM, and nothing that needs your address book to be useful.

Account and cloud copies

Use an account for publishing, cloud access, and subscription management; native local drafts remain separate.

Sign in with Apple: Use the same Apple identity on iPhone, iPad, Mac, and the web; a separately created email account does not automatically merge with it.
Restore a published cloud copy: With Pro, restore a published sheet on another native device or explicitly replace a local copy; unsent local edits, the Crew Directory, and editable map marks do not sync automatically.
Export account and call-sheet records: The browser Account page downloads JSON with account details, owned call-sheet payloads, and limited delivery and response records; binary PDFs, files, logos, and wrap records are excluded.
Delete a sheet, or the whole account: Delete cloud sheets or your account through account controls; Apple-only accounts use native reauthentication, and an App Store subscription must be canceled separately.
Local drafts stay local: Drafts remain on the device until you delete them or remove the app. Signing in is not required to keep working.
A recovery copy if the library breaks: If the local library becomes unreadable, CallSheet preserves an exportable recovery copy before starting a new one.

Privacy

The contacts question is the one producers ask first, so here is the whole answer.

On-device Contacts search: The native picker reads the address book on the device after permission so you can search it; only selected people are copied, and the full address book is never uploaded.
Contacts access is optional: Decline access and use Apple's single-contact picker, enter people manually, or import a selected CSV or vCard file without Contacts permission.
Native Publish and browser Save: Native Publish uploads the sheet, its selected people, PDF, and files even without email recipients; browser Save stores sheet and recipient data before Send.
No advertising and no cross-app tracking: CallSheet does not sell personal data, run advertising, or track people across apps and websites.

Accessibility

A production tool that a member of the crew cannot read is not a production tool.

VoiceOver and Voice Control: Native controls include accessibility labels; the accessibility statement records tested versions, methods, and remaining physical-device checks.
Larger Text: Native text supports Dynamic Type, with documented Simulator checks at larger accessibility sizes; check the accessibility statement for current coverage.
Contrast and reduced motion: The app and website include contrast and reduced-motion checks; the accessibility statement identifies the scope and remaining gaps.
Status never carried by color alone: Confirmed, declined, and affected all read as text, not only as a color.

Truth boundary

What CallSheet does not do.

Most of the questions a producer asks before switching are boundary questions, and a list of features answers none of them. These are the limits, stated plainly, so nobody finds them on a shoot day.

It is not a production management suite: No budgeting, bidding, script breakdown, production accounting, or company dashboard. CallSheet is the shoot day document and its distribution.
There is no crew app: Not one that is optional. One does not exist. Recipients use a private web link, and that is the whole recipient experience.
It never sends on its own: CallSheet identifies who a change affects and preselects them. A person reviews the list and presses Publish.
Sun Path does not predict shade: Buildings, trees, terrain, windows, reflections, cloud cover, and the actual look of the light are not predicted. Use it with a scout.
The site map drawing stays on one device: The finished image prints on the call sheet and everyone you send to sees it. The editable marks live on the device that drew them, so a second device opens the picture rather than the drawing.
It does not guarantee anyone read the update: It shows you who confirmed and who did not. When a change is urgent, call them. The call sheet gives that call something current to point at.
The Crew Directory is not a marketplace: No availability, booking, rates, ratings, recommendations, messaging, or crew discovery. It is your own list, on your own device.
There is no AI feature: Nothing on the call sheet is generated. The nearest hospital is an Apple Maps search and the forecast comes from Apple Weather. Your production details are never sent to a language model or any third-party AI service.
The document uses a fixed layout: Production, client, and agency logos are supported. There is no custom-template or letterhead designer. Free PDFs carry a Made with CallSheet footer; Pro removes it.
It does not enforce union or labor rules: Meal penalties, turnaround, and SAG, IATSE, or other agreement terms are not calculated, tracked, or checked anywhere in the app. CallSheet writes and delivers the document, and the compliance judgment stays with the production.
It does not touch your footage: CallSheet is the shoot day document. It does not ingest, inspect, back up, or manage camera media, and it is not a substitute for the tools that do.

Getting started

What is CallSheet, in one sentence?

CallSheet builds the shoot-day document, publishes private recipient links to the current PDF and production details, and shows who confirmed the information shown to them.

Does it do budgets, invoices, or timecards?

CallSheet has a shoot-day schedule and Wrap Sheet emails with invoice instructions. It does not create invoices, calculate budgets or payroll, collect timecards, or process payments.

Who is it for?

Independent producers, production coordinators, and assistant directors on commercial, branded, documentary, photo, and small narrative crews. It is built for the person who owns the call sheet, not for a whole production department.

What devices does it run on?

iPhone and iPad running iOS 17 or later, and Mac running macOS 14 or later. Start with a native app, then sign in to the browser with the same account. Browser-created sheets can be edited, exported, and sent there; native-created PDFs must be updated in a native app or replaced by a browser duplicate.

Is there a Mac or Android app?

There is a Mac app on the Mac App Store. Native local drafts stay on their device until you publish and restore a cloud copy. There is no Android, Apple Watch, or Vision Pro app. Existing producers can sign in from a Windows or Chromebook browser, and crew can open their private links without an app or account.

Do I need an account to start?

Not in the iPhone, iPad, or Mac app: local drafting, editing, preview, and branded PDF export work without an account. Lookups and map imagery need a connection. Browser drafting needs a signed-in account and connection. Publishing needs an account and Pro; Pro also removes the PDF footer.

How long does the first call sheet take?

The work depends on how much is already settled: crew, call times, locations, and schedule. Reusing a native Crew Directory or an existing sheet reduces repeated entry. Review the finished document and recipients before publishing; no completion time is promised.

Is there anything to learn?

A welcome screen names the three moves on first launch, a sample call sheet is already there to read, and a How CallSheet Works guide lives permanently in Settings. None of it blocks the app, and you can bring the welcome screen back later.

Is CallSheet available in Spanish, French, or another language?

Not yet. The app, the PDF, and the recipient page are English only today, and CallSheet does not translate what you write. What you type is reproduced exactly, so a call sheet written in Spanish or French reaches your crew the way you wrote it.

What happens to my old call sheets? Is there an archive?

There is no archive folder and nothing is filed away for you. Local drafts stay on the device until you delete them, and call sheets on an account stay until you delete the sheet or the account. The library lists them by shoot date. Only the recipient links stop working, 90 days after the send.

Crew, cast, and contacts

Does CallSheet upload my entire address book?

No. The native searchable picker reads your address book on the device after permission. Only selected people are copied into CallSheet; unselected contacts and contact identifiers are not uploaded. Apple's single-contact picker is available if you deny Contacts access.

Can I use it without giving Contacts access?

Yes. In a native app, use Apple's single-contact picker after denying access, add people manually, or import a selected vCard or CSV file. In the browser, enter people manually or paste spreadsheet text. These paths do not require address-book access.

Can I bring in a whole department at once?

In a native app, import an Apple Contacts list such as Camera Dept, or select several people from the Crew Directory. In the browser, paste multiple CSV or tab-separated rows and review them before adding them.

What files can I import crew from?

Native apps import vCard (.vcf) and CSV files, with column review for CSV. The browser accepts pasted CSV or tab-separated text. Save or copy the spreadsheet into a supported format first; neither is an .xlsx workbook reader.

Can I import from Google Sheets, Excel, or Numbers?

Yes. Native apps import an exported CSV with sample values and editable column assignments before saving. In the browser, paste CSV or tab-separated cells and review the import. There is no direct spreadsheet-account connection.

Can I import a file from Dropbox, Google Drive, or iCloud Drive?

The native file picker can use installed, signed-in file providers, including a folder they expose through Files. CallSheet reads the selected file; it does not connect directly to a Dropbox, Google Drive, or iCloud account. Contacts permission is not needed.

Will an import overwrite the people I already entered?

No. Every import ends in a review step showing who is new, who merges into an existing person, and who the file repeated. A merge only fills blank fields, so nothing you typed by hand is replaced.

What is the Crew Directory?

A reusable list of the people you work with, kept on your device. It builds itself from people already used on your call sheets, and you can add profiles by hand with roles, market, lists, and private notes.

Does the Crew Directory sync or upload anywhere?

The native directory does not sync as a database. People you add to a sheet become sheet snapshots and upload when you publish that sheet. Private directory notes stay in the directory. You can also export selected directory records as a file.

If I edit someone in the directory, does an old call sheet change?

No. A call sheet snapshots each person when they are added. Editing or deleting a directory entry later never rewrites a sheet you already built or sent.

Can I get my crew list back out?

Yes. Export the directory as vCard or CSV at any time.

How many people can be on one call sheet?

The standard send limit is 100 recipients per operation. Native local sheet storage is separate from that limit; browser roster paste allows up to 1,000 crew entries. Daily service limits can also apply, so this is not unlimited sending.

Building the day

What kinds of call times can I set?

A general call for the unit, a fixed personal call, a call relative to a department, a call relative to another person, and text calls such as O/C and W/C. Relative calls move when the thing they are anchored to moves.

The whole day pushed thirty minutes. Do I edit every row?

Use Shift the Day to move supported time fields, including general call, meals, schedule items, personal calls, and estimated wrap. Check any times written in free-text instructions yourself; those sentences are not rewritten.

Can I reorder the run of day?

Yes. Drag items into place, move one up or down, sort the whole list by time, or resequence the times.

Does it handle company moves and multiple locations?

Yes. Additional locations and company moves are structured, scheduled items with their own addresses, and Apple Maps completes the addresses as you type them.

Can I mark up a map of the location?

Yes, in the iPhone, iPad, or Mac app. Draw arrows, lines, boxes, text, and parking marks over satellite imagery of the primary production location. The finished map appears in the call sheet and PDF after Sun Path. The browser can show or attach an image but cannot edit the native marks.

Can somebody else edit a site map I drew?

No. The map goes out as an image, so every recipient sees it, and the editable marks stay on the device that made them. When the layout changes, redraw it there and publish again.

What else goes on the sheet?

Parking, meals and catering, vehicles and transportation, equipment notes, weather, nearest hospital, emergency contacts, an advance schedule for upcoming days, and production notes and special instructions.

Where does the weather come from?

Native apps use Apple Weather with a United States National Weather Service fallback, subject to provider coverage, forecast dates, and a connection. Review the result and enter missing details manually. Browser weather fields are manual; there is no browser Refresh Weather control.

How does the nearest hospital work?

Native Find Nearest Hospital searches Apple Maps around the primary production location and fills available name, address, phone, and distance. It ranks returned results by straight-line distance, not driving time or verified emergency capability. Browser lookup requires you to enter the phone number. Confirm suitability and contact details before publishing.

Can I copy yesterday's call sheet?

Yes. Next Day copies it onto tomorrow's date, advances the day number, and brings the attached files. Duplicate copies it onto the same date, without the files, for a second unit.

Can I put my production's logo or branding on the call sheet?

Yes. Native and browser editors support production, client, and agency JPEG or PNG logos in the fixed document layout. Logos are available on free and Pro sheets. Free PDFs carry a small Made with CallSheet footer; Pro removes it. There is no arbitrary template, watermark, or letterhead designer.

Can I reuse company details and locations?

Native Settings includes a Production Library for company contacts, logos, locations, and a default production company. Saved records stay on that device; copying them onto a sheet creates separate sheet data. The browser's saved invoice profile and logo are a narrower feature.

Can I put the shoot day on my calendar?

Native Add to Calendar opens Apple's event editor with general call, estimated wrap, location, and a producer link when published. You choose a configured calendar and save a snapshot; it does not update automatically. Crew links offer a personal calendar download and subscription, whose refresh timing depends on the calendar app.

Is the Shot List or Pre-Production Pack available?

The public native apps have no Shot List entry and do not sell the Pre-Production Pack. Browser planning controls require separate Pack access or an available Pack offer in your account; they are not a general Pro promise.

Is Wrap Sheet the same as Ready to Wrap?

No. Wrap Sheet is the available Pro workflow for a thank-you, job code, and invoicing-instructions email. Native apps can combine selected days; the browser uses the current sheet. Ready to Wrap is a separate coverage-decision workflow with no normal entry in the public native apps. Its scope remains limited: Ready to Wrap evaluates the production evidence entered or imported into CallSheet. It does not inspect footage, verify physical storage devices, replace professional media-management tools, or guarantee creative, technical, legal, or contractual completeness. Wrap Sheet does not create invoices or process payments.

Is there a field for walkie channels?

Not a dedicated one. Channel assignments go in Special Instructions, which appears on the call sheet, in the PDF, and on every recipient page.

Does it handle union rules like meal penalties or turnaround?

No. CallSheet writes and delivers the document. It does not calculate meal penalties, track turnaround, or apply SAG, IATSE, or any other agreement, and it is not a substitute for the production's own compliance check.

Sun Path

What does Sun Path show?

The sun's true-north direction and elevation at the primary production location, shoot date, and scheduled times. A company move supplies a time, not a separate solar location. Native apps show satellite imagery, the browser can generate the primary-location plan, crew links stay interactive, and the PDF carries a diagram.

Does it predict shade from buildings or trees?

No. Buildings, trees, terrain, windows, and actual shade are not predicted. Sun Path gives production the solar direction and elevation to combine with a scout and the real location.

Is it a sunrise and sunset table?

It includes sunrise, solar noon, and sunset, with their directions. The reason it exists is the rest of the day: you can move through the actual scheduled setups and read the sun at each of those times.

Do crew see the Sun Path too?

Yes. The private crew link carries an interactive north-up Sun Path, and the PDF carries the diagram, so the solar plan travels with the document instead of living in a screenshot.

Is it true north or magnetic north?

True north, which is the common production reference and what the diagram is labelled with.

Can I view Sun Path through a live camera overlay?

Yes, on iPhone and iPad. On Sun Path, tap Point the camera at the sun path and hold the phone up. The shoot day's path, with golden hour and blue hour, is drawn over the live camera view. It is computed for the production address on the call sheet, so use it standing at that location. Mac and the browser do not have it.

Sun Path disappeared after I edited the address. Why?

Changing the production address clears the solar snapshot, because the old one described a different place. Set the address, then open Sun Path again to rebuild it for the new location.

Sending and private links

Do crew and cast need the app?

No. Each person receives a private link and can review, confirm, or decline in a browser without an account and without installing anything.

What does a recipient actually get?

A private web page with their personal call next to the general call, the location, the current call sheet PDF, any attached production files, an interactive Sun Path, and Confirm and Decline buttons. On an update, it opens with what changed for them.

Can I send to someone who only has a phone number?

Yes. They get their own private link, which you send from Messages. CallSheet never claims an email went to someone who has no email address.

Can I send the call sheet by text message or SMS instead of email?

Native apps prepare a private link in Apple Messages for you to send. Browser producers can copy a person's private link and send it through their own messaging app. CallSheet does not send automatic server SMS, and preparing or copying a link is not a delivered message.

Does the crew get a push notification or a reminder?

No. CallSheet puts nothing on a crew member's lock screen, because crew and cast install nothing. They get an email, or a Messages link you send, and their private link stays current from then on. There are no automatic reminders and no nudges on a schedule.

Can I control the email that goes out?

Yes. Set a custom subject, a reply-to address, and your own producer message before publishing.

Can I attach PDFs and production files?

Yes. The private recipient page hosts the current call-sheet PDF and production files. Call-sheet emails contain the link, not file attachments. Each sheet allows 20 PDF, JPEG, or PNG attachments, including logos and Site Map, totaling at most 4,000,000 bytes; no individual file can exceed that limit. Files carry forward across revisions.

Can published PDFs save to a folder automatically?

Yes. Native Settings offers Auto-Save PDF to a folder you choose, including one exposed by an installed, signed-in file provider. Each published PDF is saved with its date and revision. This does not back up every local draft or synchronize a cloud-drive account directly.

How long does a private link last?

90 days from the send. You can also revoke a link before then when access should end.

Is a private link safe to forward?

No. Treat it as confidential. It is a capability link, addressed to one person, and forwarding it hands that person's access to someone else.

How many people can I send to at once?

Up to 100 recipients in a single send, with individual and bulk resend afterwards.

Confirmations and changes

What is the difference between opened and confirmed?

An open records a link fetch. A confirmation records an explicit answer submitted through that link for an issued revision. These are different states; neither verifies the respondent's identity or proves they read and understood the sheet.

Is a confirmation the same as a signature?

No. A confirmation records the answer and revision submitted through a recipient link, with a timestamp. It is not an electronic signature, and CallSheet does not present it as a legal instrument.

Can I update a call sheet after sending?

Yes. CallSheet works out who is affected, selects only those people by default, explains what changed, and tracks their acknowledgement of that revision. Private links stay the same.

Will one person's change spam the whole crew?

Not unless you tell it to. The send review opens with only the affected recipients selected, and you can add or remove anyone before publishing.

Does a change invalidate confirmations I already have?

Only the ones it should. A recipient whose information changed needs to confirm again. Everyone else keeps a valid, current acknowledgement.

Does CallSheet ever send on its own?

No. It identifies and preselects. A producer reviews the recipient list and presses Publish. There is no automatic or scheduled send.

What if two people edit the same call sheet?

A line appears telling you somebody else is editing it right now, which is a warning rather than a lock. If two saves collide, the second one gets a conflict to resolve rather than silently overwriting the first.

Do recipients see a revision number?

No. The counter tracks every save, so quoting it would publish how many times the sheet was reworked. Crew see update state and the send time in the shoot's time zone instead.

Can I compare a call sheet that came from somewhere else?

Yes, in a native app. Compare two selectable-text PDFs locally and review suggested changes and matches to your local roster. Scans are unsupported. Each PDF must be at most 25 MiB and 100 pages. The comparison itself uploads and sends nothing.

The browser app and sharing

Can I work on a laptop?

Yes. Sign in to the browser to create or edit sheets stored on your account. Browser-created sheets support PDF export and Pro sending. Native drafts appear only after publication, and native-created PDFs must be updated in a native app; a browser duplicate creates a version the browser can render. Contacts, local libraries, map drawing, and weather refresh differ by platform.

Can somebody else work on my call sheet?

The owner of a browser-created call sheet can invite someone by email as an Editor or Viewer. Editors can change that sheet; Viewers can read it. Neither role can send, invite, or delete it. Invitations expire after seven days.

Is the browser app included?

Browser access, drafting, and web-created branded PDF export are free with a signed-in account. Pro clean PDFs and distribution use that account's entitlement without a second platform purchase. Native and browser editing capabilities still differ.

Plans, trial, and billing

Can I draft without paying?

Yes. Native local drafting, the editor, Crew Directory, preview, and branded PDF export need no account or purchase. Sun Path is also free, with a connection needed for lookups and map imagery. Browser drafting and web-created branded PDFs are free with a signed-in account. Pro pays for the clean PDF and distribution.

What is included with CallSheet Pro?

Clean PDFs, private recipient links, email distribution, delivery and response tracking, targeted revisions, published-sheet cloud restore, and Wrap Sheet emails with invoicing instructions. Browser drafting is already free. Pro does not promise an available Shot List, Pre-Production Pack, or Ready to Wrap workflow.

How does the 7-day free trial work?

Eligible new subscribers can start a 7-day trial on a solo Pro plan. The purchase screen confirms eligibility, currency, renewal price, and billing period before you subscribe. The US solo price is $7.99 per month or $59.99 per year. Cancel through Apple for an Apple purchase or browser Account billing for a browser purchase before renewal; Apple requires at least 24 hours before the period ends. Private review access is a separate draft-and-PDF workspace, not a Pro trial.

Is there a free send allowance?

No, and that is deliberate. A monthly allowance was built and then removed, because running out mid shoot day with a call time that just changed is the exact moment the product has to work. The trial answers the same question without a counter.

What does it cost after the trial?

The US solo Pro price is $7.99 per month or $59.99 per year. Annual is $35.89 less than twelve monthly payments. Your purchase screen supplies the applicable currency, tax, and renewal terms.

Do I pay separately for the browser app?

No. It is the same account and the same CallSheet Pro subscription as the app. Signing in on the web costs nothing extra.

How do I cancel?

For an Apple purchase, use Manage Subscription in native Settings or your App Store subscriptions, at least 24 hours before the current period ends. For a browser purchase, use billing management on the browser Account page. Deleting your account does not cancel an App Store subscription.

Can I get a refund?

For an Apple purchase, request a refund through Apple's Report a Problem service; Apple decides the outcome. For a browser purchase, contact CallSheet support with your billing email. Do not send passwords or private recipient links.

Do I lose my call sheets if I stop paying?

Native local drafts, editing, preview, and PDF export keep working, with the Made with CallSheet footer on free exports. Pro is required for publishing and cloud restore. The browser account export contains records, not every PDF or attachment, so save needed files separately.

Privacy and your data

What leaves my device?

Native local drafts stay on the device until Publish uploads the sheet, its selected people, PDF, and files, even if no email recipients are selected. Browser Save stores the sheet and recipient details online before Send. Contacts search reads the native address book locally; the directory itself does not sync. Lookups and account services use the network as described in the privacy policy.

What do you do with contact data?

It is used to build and deliver your call sheets. CallSheet does not sell personal data, run advertising, or track people across apps and websites.

Can I export my data?

Yes. The browser Account page exports JSON with account details, owned call-sheet payloads, and limited delivery and response records. It excludes PDF and attachment bytes, logos, complete invoice-profile data, wrap records, and partner-owned sheets. It is not a complete or restorable backup. Native Crew Directory export is separate.

Can I delete my account?

Yes. Native Settings provides account deletion with Apple reauthentication. The browser provides deletion for email accounts and directs Apple-only accounts to the native app. Local drafts remain until you delete them or remove the app. App Store subscriptions must be canceled separately; account deletion requires browser subscription billing to be stopped before it can complete.

What happens to old private links after deletion?

Deleting the cloud sheet or account makes its recipient links unavailable. Without deletion, links expire after their sharing period or when revoked. A PDF someone already downloaded is a separate copy and is not removed by revoking a link.

Is CallSheet connected to another company's systems?

No. It is a standalone product with no company login, project system, CRM, or brand dependency behind it.

Accessibility and support

Is CallSheet accessible?

It is being verified with VoiceOver, Voice Control, Larger Text, sufficient contrast, reduced motion, and status labels that never rely on color alone. The accessibility statement describes what has been checked and what has not.

Does it work offline?

Native local drafting, the Crew Directory, preview, and PDF export work offline. Lookups, new map imagery, publishing, tracking, and cloud restore need a connection. Browser drafting and saving require an account and connection, and recipients need a connection to open the live page.

Something is wrong. How do I reach a person?

Email or call support directly. Include the app version and a short description of what happened, and do not send recipient links or private production details unless they are asked for.

Can I ask for a feature?

Yes. Support is the same address, and feature requests go to the person who builds it.
